There can be multiple versions of a particular contract, but only one version can be effective at a given time. The status of a contract, as displayed in the Contracts page, defines whether the contract has an effective version and whether its terms can be modified. Contract statuses include:
These statuses correspond to the life cycle of a given contract (or contract version), as follows:
|
Status |
Description |
|---|---|
|
Preliminary |
New contracts are automatically given a preliminary status. This means that it is not yet committed in the system, and service-level calculations are not performed for it. You can modify the terms of a Preliminary contract as required. Once a contract is committed, its status is changed to Pending, Effective or Not Effective according to its effective dates. |
|
New (for contract version only) |
A new version of a contract that was already committed can be modified in the same way a Preliminary version is modified; however, for a contract version, the Contract Party cannot be changed. |
|
Pending |
The contract start date is sometime in the future. This status is available only after a contract is committed. |
|
Effective |
The contract's start date has already arrived. This status is available only after a contract is committed. |
|
Not Effective |
The contract's end date has already arrived. This status is available only after a contract is committed. |
|
Archived |
You can archive a whole contract (with all its versions). This causes all related service level calculations to stop. You can still view reports for the contract, but not you cannot modify the archived contract. Once a contract is archived, an administrator is allowed to purge its service level data. |
When creating a new version, the previous version remains Effective until the start date of the new version, at which point the new version becomes Effective and the previous version becomes Not Effective. You can continue to generate reports that include Not Effective versions of the contract.
