Scheduling a Booklet
You can distribute booklets automatically to contract stakeholders via email and/or to a folder on the network at scheduled intervals. Scheduling booklets can be performed on a one-time or on a recurring basis via the Recurrence Pattern.
Note: Super Administrator rights are required to schedule a Booklet.
To schedule a booklet
- In the Booklet Properties page, under Scheduling, click Edit.
The Scheduling page opens.
- In Send to, select either or both of the following options:
- Mail recipients to email the scheduled report. Enter the address of the email recipients in the field provided. Multiple addresses can be entered, separated by a space or semicolon.
- File to save the scheduled report to a file. Enter the name of the file in the text field. The file location will be the server's default location. In addition, you can enter a full path to another location on the server or another machine.
- Select the To be approved by check box and enter the email address of the person who must approve the report before it is sent to others. When the report is generated, a link is emailed to this person, who must approve sending or saving the report by clicking the Send button.
- In Hour, select the time for running the report from the drop-down list, and then select a time zone from the drop-down list.
- Select the Pend until report is ready check box to have the report sent only after all results are calculated.
- In Attachment Format, select the desired format of the report (PDF, RTF or Zipped RTF).
- In Recurrence pattern, select Daily, Weekly, Monthly or Yearly. and then select the time option from the displayed fields. This determines how often the report is rerun. For example, you can select a weekly recurrence and then select every weekday.
- In Range of recurrence, type the start date for running the report. Select No end date, End after or End by to set when to stop running the report and enter the relevant details in the fields provided.
Tip: Click
to open the calendar pop-up and the select a date.
- Click OK to return to the Booklet Properties page. The report is now scheduled to run automatically according to the set parameters.
Note: If an error occurs and the report does not run as scheduled, the system continues to try and run it for several intervals. After a few failed attempts, the schedule is stopped and the report needs to be rescheduled.
