Add a Contract Party
Contract parties are created from the Contract Party Details page.
When adding a contract party you can:
- Add the contract party to one or more contract party groups.
- Determine which users can view the contract party.
Notes:
- Only a user whose role includes permission to add contract parties can do so.
- New contract parties are automatically added to the All contract party group. The All contract party group can be used when assigning users access to all contract parties.
If there is a contract party that has details similar to the one you want to add, you can duplicate the existing contract party to create a new one. For more information, see Duplicating a Contract Party.
Follow these steps:
- In the Contract Parties page, click Add New.
The Contract Party Details page opens.
- In Name, enter the name of the contract party.
- In Description, enter a description for the contract party.
- In Contract Party Type, select the type of contract party: Customer, Internal provider, Internal receiver or Provider.
An example of an internal provider is the IT department within a large organization that contracts its services to other departments.
- In Registration date, enter the date of registration for this contract party. (By default, the current date opens).
Note: You can select a date from the calendar by clicking
.
- [Optional]. In Class, select a letter to represent the priority of the contract party.
- [Optional]. In Address, enter the contract party's mailing address.
- [Optional]. In Country, enter the country.
- [Optional]. In State, enter the state.
- [Optional]. In Phone number, enter the contract party's primary phone number
- [Optional]. In Additional phone number, enter an additional phone number.
- [Optional]. In Fax, enter the contract party's fax number
- [Optional]. In E-mail address, enter the email address.
- In Contact info, enter any additional contact information about the contract party, enter the contract party's e-mail.
- In Member of Contract Party groups, select the contract party group(s) to which the contract party should belong (if available), from the Available list and click
, or double-click the contract party group. The contract party group moves to the Member of list.
- In Permissions, select the users who are permitted to view the contract party from the Available users list and click
, or double-click the user. The available users move to the Permitted users list.
Note: Only the users in this list can view information relating to the new contract party's details, contracts and reports. Other users are not aware that this contract party exists.
- In Default number of seats, enter the default number of seats for contracts defined for this contract party.
- In Notes, enter any additional information about the contract party.
- Click Save. The new contract party is added to the system and to the All contract party group.
