Scheduling a Booklet

You can automatically distribute booklets using email or send them to a folder on the network at scheduled intervals, or both. Scheduling booklets can be done on a one-time or recurring basis.

Note: You must be a Super Administrator to schedule Booklets.

To schedule a booklet:

  1. In any Reports folder click Add New; in the menu click Booklet.

    The Booklet Details page opens.

  2. In Scheduling, click Edit to schedule the booklet.

    The Scheduling window opens.

  3. In Send to, select either or both of the following options:

    Note: Use a fully compliant RTF viewer (such as Microsoft Word) to view the file.

  4. Optional. In the field: "To be approved by - Email", enter the email address of the person who must approve the booklet before it is saved or sent to others. A link is emailed to the address when you click the Send button.
  5. In Hour, select the time for running the report from the drop-down list, and then select a time zone from the drop-down list.
  6. Optional. Click the option: "Pend until report is ready" to wait until the report is ready.
  7. Select the Attachment format that you prefer. The available choices are DOCX, PDF, RTF, and Zipped RTF.
  8. In "Recurrence pattern", select the recurrence: Daily, Weekly, Monthly, or Yearly. Next enter an integer into the "recur" field, and complete any associated fields. The combination determines how many "recurrence patterns" pass before regenerating the again. For example, select Weekly, enter "2" into the recur field, select "Monday". The booklet is generated every two weeks on Monday.
  9. In the field "Range of recurrence", enter the start date for generating the report. Next, select the option to stop running the report: "No end date", ' "End after" X occurrences' or "End by" and enter the relevant details in the respective fields.

    Tip: You can select a date from the calendar by clicking Open Calendar.

  10. Click OK save and return to the Booklet Details page or click Remove Schedule to erase the current schedule.

    The booklet now runs according to the set parameters.
