Schedule a Simple Report

You can schedule a simple report to be generated and sent automatically at defined times to a defined list of recipients or a folder. Scheduling can be done on a one-time or a recurring basis.

Follow these steps:

  1. In the Report Properties page, under Scheduling, click Edit.

  2. In Send to, select either or both of the following options:
  3. Select the To be approved by check box and enter the email address of the person who must approve the report before it is sent to others. When the report is generated, a link is emailed to this person, who must approve sending or saving the report by clicking the Send button.
  4. In Hour, select the time for running the report from the drop-down list, and then select a time zone from the drop-down list.
  5. Select the Pend until report is ready check box to have the report sent only after all results are calculated.
  6. In Attachment format, select the output format of the report to be sent and in Include, select the information to be included from the available options.

    The following table shows the available attachment formats. Penalty reports (when available) have the same formats.

Includes Data and Filter (Default). Other options include: Exceptions, Corrections, Raw data, Received Data, Root-Cause Comments and Calculation status.

Chart and Only Annotated are disabled and cleared.

CSV (Data Only)

Includes Data (Default). Other options include: Exceptions, Corrections, Raw data, Received Data and Root-Cause Comments.

Chart, Filter, Only Annotated and Calculation status are disabled and cleared.

HTML

Includes Chart, Data and Filter (Default). Other options include: Exceptions, Corrections, Raw data, Received Data, Root-Cause Comments and Calculation status.

Only Annotated is disabled and cleared.

MHT*

Includes Chart, Data and Filter (Default). Other options include: Exceptions, Corrections, Raw data, Received Data, Root-Cause Comments and Calculation status.

Only Annotated is disabled and cleared.

PDF

Includes Chart, Data and Filter (Default). Other options include: Exceptions, Corrections, Raw data, Received Data, Root-Cause Comments and Calculation status.

Only Annotated is disabled and cleared.

Chart is disabled and included.

All other options are disabled and cleared.

Note: * HTML reports can be sent as .MHT, which embeds all the required files into a single MHTML document. This allows the document to be viewed at a later time its entirety, without broken links.

  1. Select the Add link check box to add a link to the report in the email.
  2. In Recurrence pattern, select Daily, Weekly, Monthly or Yearly. and then select the time option from the displayed fields. This determines how often the report is rerun. For example, you can select a weekly recurrence and then select every weekday.
  3. In Range of recurrence, select the start date for running the report. Select No end date, End after or End by to set when to stop running the report and enter the relevant details in the fields provided.
  4. Click OK to return to the Report Properties page. The report is now scheduled to run automatically according to the set parameters.

Note: If an error occurs and the report does not run as scheduled, the system continues to try to run it for several intervals. After a few failed attempts, the schedule is stopped and the report must be rescheduled.
