Add User Permissions for a Policy

You can use the Admin page to add new user permissions for a policy.

Important! You must have Super Admin authority to add new user permissions for a policy.

To add new user permissions for a policy

  1. Log in to CA XCOM Gateway.

    The Home page appears.

  2. Click Admin.

    The Admin page appears.

  3. Click Process Policies.

    The Process Policies page appears.

  4. For a policy, click Actions.

    A drop-down list appears.

  5. Click Edit Permissions.

    The User Permissions by Policy page appears, listing the user permissions of the selected policy.

  6. Click New.

    A new empty row is added to the page.

  7. Click User Name on this row.

    A drop-down list appears, showing all available users who do not already have this policy.

  8. Click a user on the drop-down list.

    The new user is added to the list of users for this policy, and a confirmation message is displayed.

  9. Update user/policy permission attributes

    If attributes need to be amended for the new user, change the appropriate columns, then select the row and click Update to apply the changes.

    Enable Extraction

    The Enable Extraction option determines whether this user is to be permitted to download files from this policy.

    Note: In order to download files that have been uploaded by other users, in addition to checking this option, the User File Sharing option must also be selected at policy level.

    Subscribed For Download

    The Subscribed For Download option identifies that a user is normally expected to download all files for this policy. When a user is subscribed to a policy, by means of this option, a notification email is sent to them advising when a new file has been stored in CA XCOM Gateway for this policy, and requesting that they download it. Additionally, until a particular file has been downloaded by all subscribed users, the long retention period defined for the policy is effective, but the short retention period applies to a file after it has been downloaded by all subscribed users of the policy.

    File Limits

    When the file count limit is set to a value other than UNLIMITED, it restricts the number of files, uploaded by this particular user for this particular policy, that can coexist in CA XCOM Gateway at any given time. You can set the file count limit to 0 (zero) if you want to prevent a particular user from uploading any files for this policy.

    When the file size limit is set to a value other than UNLIMITED, it restricts the total size of the files, uploaded by this particular user for this particular policy, that can coexist in CA XCOM Gateway at the same time. File size limits can be specified in bytes, or in kilobytes, megabytes, gigabytes, or terabytes, suffixed by K, M, G, or T respectively.

    Note: The specified value is always rounded to nearest number of kilobytes. For example, if 700 is entered as a size limit, it is automatically changed to 1024.

  10. To add more users, click New to display another row.
  11. Repeat Steps 9 and 10 for each new user.

The User Permissions by Policy page also lets you use the following options:
