Save New Projects to CA Clarity PPM

You can create a new project from Microsoft Project and then save it to CA Clarity PPM if the following are true:

• You have rights to create projects in CA Clarity PPM.
• Any resources or charge codes referenced in the project exist in CA Clarity PPM.
• Projects created in Microsoft Project are not password-protected. Otherwise, you cannot save them to CA Clarity PPM. In Microsoft Project, check the Save option of the project to determine if it is password protected.

When you save a new project created in Microsoft Project to CA Clarity PPM, the following occurs automatically:

• You become the CA Clarity PPM project manager with rights to view and edit the project.
• The project is locked in CA Clarity PPM by your user name.

Note: It is possible for you to save a project over an existing project by selecting the Save As to Clarity option from the CA Clarity PPM Integration toolbar or menu if the project ID exists in CA Clarity PPM. If you save over an existing project, the new project information replaces the existing project information. Unplanned tasks, assigned tasks with actuals are moved to the Deleted Tasks summary phase as deleted tasks.

To save a new project to CA Clarity PPM

1. With the project open in Microsoft Project, select Save As to Clarity from the CA Clarity PPM Integration toolbar or menu.

   The Save As to Clarity dialog box appears with a list of active projects that you have rights to.

2. Define the following fields:

   Project ID

   The project ID of the project.

   If the project you are saving was opened from CA Clarity PPM at some point, the project ID stored in the project's .MPP file is used as the default project ID. If the project was never opened from CA Clarity PPM, the project title is used as the project ID.

   You can change the Project ID as desired. If the project ID is unique in CA Clarity PPM, a new project is saved to CA Clarity PPM. If the project ID exists in CA Clarity PPM, a confirmation message appears letting you know the ID already exists. Click Yes to replace the existing project with the new project information.

   Note: If you change the ID, the .MPP file name changes to match it.

   Local file name

   The default local path and .MPP file name of the project. The .MPP file name defaults to the project ID.

   Click Browse to change the path and file name. If the project name already exists, information from the new project replaces the existing project.

   Note: The path and file name is determined by the Tools, Option, Save settings in Microsoft Project. Any changes to this setting do not take effect until the next time Microsoft Project is started.

   Track Mode

   Indicates the tracking method used to enter time for this project.

   Values:

   • Clarity. Staff members enter time against their assigned tasks using timesheets.
   • None. Non-labor resources, such as expenses, materials, and equipment track actuals through Microsoft Project.
   • Other. Indicates that actuals are imported from a third-party program.

3. Click Save As.

   The project is saved to CA Clarity PPM. The project remains open in Microsoft Project and a lock is placed on the project.
